Create a resource and set availability

Learn how to create a resource in Reservations & Bookings and set its booking type, capacity, opening hours, days off and booking rules.

A resource is who or what a customer books: a staff member, a chair, a room, a table, a car or a class room. The resource holds the availability: its opening hours, open days, days off and booking rules. Create a resource before you add a service, because every service needs at least one resource.

Create a resource

  1. Open Reservations & Bookings from the product switcher.
  2. Click Resources in the top menu.
  3. Click Create.
  4. Choose a booking type, for example Appointment, Class or Table.
  5. Enter a Name.
  6. Set the number of places in the capacity field.
  7. Set Status to Active.
  8. Fill in the hours and rules described below.
  9. Click Create.

Booking types

The booking type decides how guests book. Choose from Appointment, Rental, Accommodation, Class, Event, Table, Waitlist, Membership / Subscription and Route. The capacity field changes its name with the type. For an appointment or a table it is usually 1. For a class it is the seats per session, and for a rental the units you have.

Opening hours and days

Under Availability and hours you set when the resource can be booked:

  • 24/7 Operation: the resource is available all day, every day.
  • Start Time and End Time: the daily opening hours.
  • Operating Days: the weekdays it is open. Leave all days unticked to allow every day.
  • Timezone: hours, slots and bookings use this timezone, wherever the guest is.
  • Class times: for classes, the start times per day, such as 07:00 and 19:00.
  • One-off dates: dates outside the weekly times, such as a workshop or concert.

Holidays and days off

Add your holidays under Disabled Dates. No booking can start on or run over these days. Disabled dates are set per resource, so add them to each resource that closes.

Booking rules

  • Minimum Advance Time: in minutes, how long before the start a guest must book. 120 means at least 2 hours before.
  • Maximum Advance Time: in minutes, how far ahead guests can book. Leave it empty for no limit.
  • Buffer Time (minutes): time kept free before and after each booking, for example for cleaning.
  • Same-Day Booking: allow bookings on the same day.
  • Minimum Duration and Maximum Duration: the shortest and longest booking allowed.
  • Time step: under How guests pick dates and times, the step between start times: 15, 30 or 60 minutes.

The Price section is mainly for rentals and stays, where the guest pays a price per hour, day or night. For other types the guest pays the price you set on the service.

Tip: set a resource to Inactive or Under Maintenance to hide it from the booking page without deleting it.

Next, add a bookable service that uses this resource. To show the bookings in your own calendar, see Sync bookings to your calendar.

Frequently asked questions

How do I close for a holiday?

Open the resource and add the days under Disabled Dates. Repeat this for every resource that is closed on those days.

Why can guests not see any free times?

Check that the resource is Active, that it has operating days and hours, and that the Minimum Advance Time is not longer than you expect. Also check that a service is linked to the resource.
