Due dates and repeating cards

Learn how to give Operations cards a due date, start time and duration, set up repeating cards and get reminders before a card is due.

Cards in Operations can be planned: give a card a due date, a start time and a duration, or let it repeat every day, week, month or year. Planned cards show up in your agenda and calendar, turn red when they are overdue, and send a reminder to their owner. Repeating cards are useful for work that comes back, such as a weekly blog post or a monthly invoice run.

Where to find it

  1. Open a board in Operations.
  2. Click a card, or click Add Card in a group.
  3. Find the Planning section in the card window.

Set a due date

  1. Pick a date under Due.
  2. Optionally, enter a Time (optional). Without a time, the card is due all day.
  3. Click Update Card, or Create Card for a new card.

On the board, the card shows its due date. Once the date has passed, it turns red and the card counts as overdue.

Plan when to work on it

Use Start for the moment you plan to begin, and Duration for how long it takes, for example 2 hours. A card with a start time and a duration shows as a block in the week view of the calendar. Choose No duration if you do not want to set one.

The due date cannot be before the start date. If it is, WEMASY shows The due date is before the start date.

Make a card repeat

  1. Set a Due or Start date first. A repeating card needs one of them.
  2. Under Repeat, choose Daily, Weekly, Monthly or Yearly.
  3. Under Every, enter how often, for example every 2 weeks.
  4. For a weekly repeat, pick the days under On these days.
  5. Under Ends, choose Never, On a date, or After a number of times.
  6. Save the card.

The card window shows Next one with the date of the next card.

How repeating works

  • When you complete a repeating card, WEMASY makes the next card in the same group, with the dates moved forward by the repeat. That card shows Made by a repeat.
  • The next card is never planned in the past. Dates that have already passed are skipped.
  • A monthly repeat on the 31st falls on the last day of shorter months.
  • To stop a repeat, open the card and set Repeat to Does not repeat.

Reminders

WEMASY reminds the owner of a card in the dashboard notifications before the card is due:

  • A card with a due time: within the hour before that time.
  • A card that is due all day: from 08:00 on the due date, in the time zone of your project.

Each due date sends one reminder. If the card has no owner, the reminder goes to the owner of the project. If you change the due date, a new reminder follows for the new date. Set the owner as described in Card status and priority.

Tip: see all your planned cards at once in the agenda and the calendar. Read Operations calendar and agenda.

Frequently asked questions

Why can I not save my repeating card?

A repeating card needs a due date or a start date. A weekly repeat needs at least one day, and an end on a date needs that date. Fill in the field WEMASY points out and save again.

What happens if I forget to complete a repeating card?

The card stays open and turns overdue. The next card is only made when you complete this one, and it is never planned in the past.

Which time zone do dates use?

Agenda, calendar, overdue status and reminders use the time zone of your project.
